Software cost calculator for small teams

Prices checked on 2026-10-16 from official pricing pages

Pick a tab, enter your numbers and see what each tool charges. The email marketing cost calculator works by list size, the project management software cost calculator by team size, and the SEO tool tab by the number of people who need a login. Every price comes from the vendor's own pricing page, with the check date shown next to each product.

Email tools price by the size of your list. Enter how many subscribers (contacts) you have.

  • Cheapest does not mean best: each plan has its own limits, listed under “Limits and caveats”. Free plans are left out of the ranking unless you tick the box; a free plan that fits is mentioned under the plan.
  • “Next price jump” is the next subscriber count where the cheapest plan steps up because of a tier boundary or a plan limit, not the steady per-subscriber growth of per-seat plans.
Not included, and why
  • AWeber. Its pricing page showed two different versions on the same day (a static page and a slider page), and the slider version's plan descriptions did not match its own price rows. No subscriber-based price is confirmed.
  • Brevo. Brevo prices by emails sent per month, not by subscribers, so it cannot be compared on a list-size basis. See the email marketing cost article for a worked example.

Prices change and taxes may apply. These are list prices in US dollars as read from each vendor's pricing page on the date shown, before sales tax or VAT unless a product's notes say otherwise. Vendors change plans, limits and discounts without notice, and some show different prices by country. Check the vendor's page before you buy. We have not used these products; the calculator compares price lists, not quality.

How the numbers are worked out

  • Cheapest plan that fits. Among a product's plans, the lowest price that covers your number. Per-seat plans multiply by your headcount (or by the plan's minimum seats, if higher). Flat plans cover everyone up to their stated cap.
  • Monthly versus annual. “Billed monthly” uses each vendor's month-to-month price. “Billed annually” uses the per-month figure shown for yearly billing, and the yearly total is what you pay up front for the year. If a vendor does not publish one of the two prices, we do not make it up: that product shows as unavailable on that setting.
  • List sizes between recorded steps. Email tools price in steps of subscribers. We record the steps we read from each vendor's slider or table. If your number falls between two recorded steps, the table shows the next step up and says “up to”, because a step we did not record could be cheaper. Quick-pick buttons use sizes that most products have recorded.
  • Next price jump. The next quantity where the product's cheapest option steps up, such as crossing a tier boundary or outgrowing a plan's seat cap.

Where one of our comparison articles covers a product, the row links to it. Every number in the tables can be traced to the official page linked in the same row. The log of everything we noticed that did not line up is on the price changes page.
